How an appraisal works in Flawless
- IntakePick a piece from your inventory, or describe the customer's own piece with photos and a declared value; Flawless creates the item when you save. The customer's address, email and phone are on the same screen to confirm.
- Details and photosRecord the metal, stones and measurements on the item. GIA reports sync to the item, so certified stones carry their report details. Add photos from a webcam, a connected camera or a Gem Lightbox, or pick images you already have.
- Type and valueChoose the appraisal type, including Proof of Value, and enter the value. The type carries into your list of appraisals.
- SignatureSend your appraiser a private text or email link. They review the PDF and sign on their phone without logging in; the link expires after one hour. The signed PDF becomes the appraisal, and the list shows what is signed.
- On the recordThe appraisal stays with the customer's purchases, repairs and ring sizes, so you can find it when they come back for an update or a claim.
What a good appraisal record includes
Whatever software you use, an appraisal should let a stranger match the document to the piece years from now.
- Who and when: the customer, the appraiser and their credentials, and the date the piece was examined.
- The piece: metal and fineness, weight, measurements, maker's marks and condition, written so it could only describe this piece.
- Stones: shape, measurements, weight (and whether it was measured or estimated), color and clarity, plus the lab and report number for certified stones.
- Photos: the front, the side and any marks or inscriptions.
- The kind of value: insurance replacement, fair market value and proof of value answer different questions. Name the one you used.
- Limits: what was not examined, for example stones left in their settings, so weights are estimates.

What is jewelry appraisal software?

Can my appraiser sign without logging in?
Yes. Send a private text or email link that expires after one hour. The appraiser reviews the PDF and signs on their phone, and the signed PDF becomes the appraisal.
Can I appraise a piece the customer did not buy from us?
Yes. At intake, describe the customer's piece with photos and a declared value, and Flawless creates the item for you. For a piece you sold, pick it from your inventory instead.
Does Flawless POS work with BriteCo?
